Cloud based ticketing system: what an MSP needs from one that an internal team does not

Almost every ticket queue sold today is hosted by the vendor, so cloud is no longer the decision it was. What still decides it for an MSP is the shape of the queue rather than where it runs: one system holding many companies, each with its own contacts, its own contract and its own idea of what urgent means, and a bill at the end of the month that has to come out of the same record. An internal team can run a good queue on almost anything. An MSP cannot.

PSA ticketing system or a standalone queue

The choice is really between a ticket tool that does tickets well and a PSA whose ticket module is one of six. A PSA ticketing system brings contracts, time, billing and the client record with it, which is why MSPs end up there even when the queue itself is not the best one on the market. The standalone products are frequently nicer to work in and leave you joining time to invoices somewhere else. Decide which of the two jobs is costing you more today, because the queue you like using and the queue that gets you paid are not always the same product.

Help desk integration is the whole question, not a feature

A ticket system is only as good as what it can see. The connections that matter are the RMM, so an alert becomes a ticket and a ticket can act on the device; the mailbox, so a client email becomes a ticket without a rule nobody maintains; the directory, so contacts are real; and the accounting system, so time leaves the queue as an invoice. Ask for each of those by name and ask how it is built, because a native connection, a vendor connector and a webhook somebody wrote are three different maintenance burdens wearing one word.

PSA tools for MSP shops: ticketing is one module of several

Contracts, time tracking, quoting, billing, projects and a client record all sit alongside the queue in this category, and a buyer who evaluates only the ticket screen buys the wrong product roughly half the time. The useful exercise is to walk one month end through the demo rather than one ticket. Take a client on a fixed monthly agreement, add an out of scope job, and see what leaves the system as an invoice line. Whatever falls out of that walk is the part somebody in your office is currently doing by hand. Neither of the two vendors here that publish a platform rate, SuperOps and NinjaOne, prices the queue apart from it, so what you are comparing is always the whole platform.

What is a service desk, and does a cloud ticket queue have to be one

A help desk answers tickets. A service desk owns the processes around them: requests with a catalogue people order from, change, and the asset record the tickets refer to. Most MSPs need the first and grow into parts of the second, usually starting with a request catalogue for onboarding and offboarding because those are the jobs done badly by email. Buying the whole framework before the queue works is a common and expensive order of operations. Buy the queue, run it for a quarter, then add the process the tickets are telling you is missing.

Questions people ask about cloud based ticketing system

Does ticket automation save a technician real time?

The kind that saves time is dull: routing by client and contract, templates that prefill, and closing the loop on an alert that cleared itself. The kind that does not is anything that needs a technician to check what it did. Ask for the automation log in the demo.

Is an MSP helpdesk different from an internal one?

In one way that matters: it holds many companies at once. Contacts, contracts, time and reporting all have to split cleanly by client, and a tool that models one organisation will be worked around every month.

What does an MSP service desk cost?

Nothing here prices the queue on its own. The published platform figures are SuperOps at $1.50 an endpoint a month at its 100-endpoint minimum on the Prime plan and NinjaOne from $1.50 at 10,000 endpoints rising to $3.75 at 50 or fewer. HaloPSA's page could not be read by this record, so no figure is carried for it.

Do I need MSP help desk software as well as an RMM?

You need somewhere tickets, time and contracts live, and the RMM is rarely that place on its own. Some vendors sell both as one platform, which is the reason the bundles exist; the question is whether the weaker half is weak enough to matter.
